  You will need to know as close as possible how many guests will be invited to your reception and should book the reception facility accordingly. (The traditional figure that is used is that 70% of those people invited to your wedding and reception will actually be there.)

  Check the following before you make your final decision:

A. The size of the room is extremely important. Use a room that is too big and it will seem like practically no one came to your reception. If it's too small, people will be crowded and uncomfortable.

B. What are the house rules: Does your reception facility have certain rules that don't suit your plans? For instance, you may plan to serve liquor and discover it is not allowed.

C. Are there sufficient parking facilities? Is there a parking charge?

D. Is the dance floor big enough? Can you bring one in?

E. Does the facility offer a "Wedding Package"?

  Once your decision is made, take care of the following:

A. Choose your menu. You may wish to give your guests a choice. If you do, remember to add this to your response card.

B. Choose your wine. Ask the food and beverage personnel to help you. You may wish to choose a Champaign toast only.

C. Would you like them to serve hors d'oevres? Set up some time schedule if there are to be multiple servings of food.

D. When can the wedding cake to be delivered and where well it be set up? What will the background look like from the photographers point of view?

E. What kind of tables are to be used? Round? Oblong? How many to a table - is this variable?

F. Have the hostess give you a floor plan, showing exactly where the tables are to be positioned. This is very important if you are planning a formal seating chart. If you are doing a formal seating arrangement, you will have to inform the hostess of how many will be sitting at which table. You will be able to do this once you have received all your reply cards.

G. Will you have a host (you pay) or no host (your guests pay) bar?

H. Cloakroom facilities - these should be convenient for your guests and should cause no expenses for your guests.

I . Microphone: You may need one near the table where your master of ceremonies will be sitting. However, this is often supplied by the D.J. or band leader.

J. Decor: Do you want anything special?

K. Flowers: Where should they be positioned? What time should they be delivered?

L. If you are going to use personal items (napkins, matchbooks, etc.) make sure the hostess is aware of this and agrees to place these things in their correct places.

  Once you have made all the arrangements, be sure to record them so that your reception coordinator and master of ceremonies will know what to check.
